Personal Assistant to Director [Indonesia]


 

Requirements:

- Proficiency in English grammar, spelling, and writing to effectively communicate with clients and stakeholders.

- Excellent organizational and time management skills to handle multiple responsibilities efficiently.

- Strong accuracy and attention to detail, ensuring precision in all tasks undertaken.

- Possess a calm and professional demeanor to handle diverse situations.

- Demonstrates tact and discretion, as you'll be dealing with sensitive and confidential information.

- Experienced in handling accounts and budgets.

- Ability to take on event coordination, research, and prepare reports and presentations.

- Willingness to be stationed in the office while being open to travel for meetings or other events as required.

- Proactive and resourceful, capable of taking initiative and working independently.

- Flexibility and adaptability to manage varying work demands and schedules.

- Knowledge or background in building, construction, real estate, architecture, or engineering is a plus but not required.

- Proven experience as an personal or executive assistant or in a relevant administrative support role.

- A good understanding of the Microsoft Office, and G-suite to efficiently handle business-related tasks.

- High school diploma or equivalent educational qualification.

- Strong ability to prioritize and manage daily workload effectively.

- Thrives in a fast-paced environment and can meet deadlines with ease.

- Demonstrates a proactive problem-solving approach and sound decision-making skills.

- Possesses exceptional verbal and written communication skills, maintaining a professional tone.

Responsibilities will include but not to be limited to :

Serving as the first point of contact, handling email correspondence and phone calls in a professional and courteous manner.

- Managing diaries and efficiently organizing meetings and appointments, effectively optimizing the executive's time.

- Booking and arranging travel, transportation, and accommodation for international trips and events.

- Providing timely reminders of important tasks and deadlines to Director.

- Maintaining databases and filing systems for efficient data management.

- Liaising effectively with staff, suppliers, and clients to foster productive relationships.

- Collating and filing expenses, ensuring accurate financial documentation.

- Assisting in processing working permits in coordination with HR/consultants.

- Handling health insurance matters and ensuring compliance.

- Managing mileage and related records for efficient travel management.

- Assisting in the preparation and setup of presentations given by the Director.

Job Types: Contract, Full-time
